Introduction

KaganCore is a controlled-access operational platform used by media organizations and verified professionals for media coordination, booking operations, and related workflow management.

In this policy, "media organizations" and "media teams" include producers, production and editorial teams, network operators, and their authorized staff and representatives, depending on role. "Professionals," "experts," and "contributors" refer to the individuals who maintain professional profiles on the platform.

This Privacy Policy explains what information we collect, how information is used, who can access it, how visibility and lifecycle controls operate, and how information may be retained, restricted, or removed.

KaganCore is not a public social network or advertising platform.


1. Who Can Access KaganCore

Access to KaganCore is restricted to authorized users, media organizations, operational staff, and approved participants.

Profiles and operational records are not publicly indexed for general internet visibility.

Access to operational information is limited according to platform permissions, organizational relationships, moderation controls, and operational requirements.


2. Information We Collect

Depending on how the platform is used, KaganCore may collect:

Account Information

Examples may include:

  • name
  • email address
  • profile information
  • organization affiliations
  • professional details
  • authentication credentials

Operational Information

Examples may include:

  • booking participation
  • scheduling activity
  • affiliation activity
  • operational notes
  • moderation actions
  • attendance and participation history
  • messaging activity
  • notification activity

Verification Information

Identity verification is handled as several distinct types of information:

  • uploaded identity documents
  • verification status (for example, requested, verified, or rejected)
  • moderation review decisions
  • anti-fraud continuity records or verification fingerprints

Uploaded identity documents are normally removed after moderation processing completes, subject to retry, retention, security, fraud-prevention, operational, and legal exceptions.

Removing an uploaded document does not remove all verification-related information. Verification status, moderation decision records, and limited anti-fraud continuity records or verification fingerprints may be retained where reasonably necessary for fraud prevention, moderation integrity, abuse investigation, operational trust protection, auditability, or legal compliance.

Payment & Billing Information

For paid features, KaganCore may process billing-related information such as subscription and plan status, billing contact details, and payment records. Payment card details are entered with and processed by our third-party payment processor; KaganCore does not itself store full payment card numbers. See "Service Providers" below.

Contact & Support Inquiries

When you contact us through a contact form or support channel, we process the information you submit, such as your name, email address, and message.

Technical & Usage Information

Examples may include:

  • device and browser information
  • session activity
  • authentication events
  • delivery logs
  • operational and usage telemetry
  • error and security events

3. Cookies & Local Storage

KaganCore uses cookies and browser storage to operate the platform:

  • authentication and session cookies used to sign you in and keep you signed in
  • storage used for session continuity and security
  • local browser storage used for interface state and preferences, such as dismissing banners or showing one-time notices
  • analytics and usage telemetry, including within signed-in areas of the platform

You can manage or clear cookies and local storage through your browser settings. Some storage is required for the platform to function, and disabling it may prevent sign-in or affect how the platform works.


4. Service Providers

KaganCore relies on third-party service providers to operate. These are used by category, including:

  • hosting and infrastructure
  • data storage
  • authentication and session infrastructure
  • transactional email delivery
  • analytics and operational telemetry
  • notification, realtime, and queue delivery
  • security, abuse prevention, and operational support
  • payment processing

Payment collection, payment methods, invoices, and the billing portal are handled by our payment processor, Stripe. KaganCore does not itself store full payment card numbers. Providers process information on our behalf for the purposes described in this policy.


5. How Information Is Used

KaganCore may use information to:

  • operate the platform
  • coordinate bookings and operational workflows
  • manage affiliations
  • maintain operational continuity
  • support moderation and trust systems
  • prevent fraud and abuse
  • deliver notifications
  • process payments and manage subscriptions for paid features
  • respond to contact and support inquiries
  • investigate operational disputes
  • maintain auditability and platform integrity
  • comply with legal obligations
  • improve platform reliability and operational performance

KaganCore does not sell personal information to advertisers.


6. Who Can Access Your Information

Access to information depends on relationship, role, and operational need:

  • a professional profile is visible within the controlled-access platform to media teams and staff who are authorized to view or coordinate the relevant workflow
  • producers and media-team staff may access profile and operational information when they interact with or manage a workflow involving that professional
  • where network governance applies, network operators may have access across the organizations they manage
  • authorized KaganCore operators and administrators may access user, profile, verification, organization, network, billing-support, audit, and operational information where needed for support, moderation, security, lifecycle and deletion processing, compliance and legal matters, billing support, and platform operations

Operator and administrator access is permissioned, scoped to role and authority, and based on operational need. Profiles and operational records are not publicly indexed for general internet visibility.

Media teams, organizations, and network staff who access professional information through the platform may use it only for platform-relevant media coordination, verification, scheduling, operational communication, and relationship management. They must not scrape, bulk-export, sell, share onward, or otherwise use that information outside the authorized relationship, except as lawfully required. Handling of non-public profile, contact, and operational information is expected to remain confidential and consistent with the platform's purpose.


7. Visibility & Operational Access

KaganCore distinguishes between discoverability, operational participation, account access, and permanent deletion.

Removing an account from active participation does not necessarily require immediate destruction of all operational records.

Certain operational records may remain preserved where reasonably necessary for booking continuity, auditability, moderation integrity, fraud prevention, dispute handling, or operational history.


8. Account Deactivation, Removal & Deletion

Deactivation

Account deactivation restricts operational participation and authentication access while preserving operational continuity records.

During deactivation:

  • profiles are excluded from operational discovery
  • authentication access may be disabled
  • operational participation is restricted
  • historical operational records may remain preserved

Deactivation is reversible. Reactivation restores account access but may not automatically restore prior affiliations, invitations, or operational relationships.

Removal Request

A request to remove a profile is submitted for administrative review rather than executed immediately. While a request is pending, data is preserved and no deletion has occurred, and the request can generally be cancelled before it is processed. KaganCore does not commit to a fixed processing time for removal requests.

Permanent Deletion

Permanent deletion is carried out through administratively reviewed processing where applicable. It irreversibly removes active account access and associated active profile data.

Certain limited records may still be retained where reasonably necessary for legal obligations, audit integrity, fraud prevention, moderation continuity, operational continuity, or dispute resolution.

Examples may include:

  • audit records
  • booking records
  • anti-fraud verification continuity records
  • limited historical operational references

Uploaded identity documents are normally removed as part of this processing, subject to the retry, retention, security, fraud-prevention, operational, and legal exceptions described in Section 2. Final deletion actions are irreversible.


9. Notifications & Communications

KaganCore may send:

  • operational notifications
  • booking notifications
  • affiliation notifications
  • moderation notifications
  • verification updates
  • security notifications
  • billing and subscription communications
  • lifecycle confirmations

Certain critical operational or security-related notifications may be delivered regardless of communication preference settings where necessary for security, verification, moderation, or operational integrity.

Operational reminders and notifications may use in-platform delivery, push notifications, email delivery, or fallback delivery mechanisms.


10. Retention & Cleanup

KaganCore applies operational retention controls to selected categories of data.

Retention periods may vary depending on operational necessity, moderation integrity, fraud prevention, auditability, dispute resolution, legal obligations, and system reliability requirements.

Certain audit and operational integrity records may be retained for extended periods where justified.

Configured retention periods should not be interpreted as guaranteed automatic deletion deadlines.


11. Security

KaganCore applies reasonable technical and organizational safeguards intended to protect operational integrity, account security, platform availability, and access-controlled information.

No platform or transmission method can guarantee absolute security.

Users are responsible for maintaining the confidentiality of their authentication credentials.


12. International Processing

KaganCore may process and store information in multiple jurisdictions depending on operational infrastructure, hosting providers, service providers, and organizational access requirements.

By using the platform, users understand that information may be processed outside their country of residence.


13. Your Rights & Requests

Depending on applicable law and jurisdiction, users may have rights relating to access, correction, restriction, objection, deletion, or other privacy-related requests.

These requests are handled through official KaganCore support and administrative channels and may involve manual review. KaganCore does not currently offer automated data export or a fixed response deadline. Privacy and data-related requests may require identity verification before processing.

Certain requests may be limited where information must be retained for legal obligations, fraud prevention, moderation integrity, auditability, operational continuity, or dispute resolution.


14. Children

KaganCore is intended for professional and organizational use and is not directed toward children.


15. Policy Changes

KaganCore may update this Privacy Policy from time to time to reflect operational changes, legal obligations, platform evolution, security improvements, or governance updates.

Continued use of the platform after updates may constitute acceptance of the revised policy.
